What we collect, and why

When you send us an enquiry

Our enquiry forms ask for your name, email address, phone number, postcode and a description of the work you need. The residential form also lets you attach up to two photographs of the area, which is optional. Commercial enquiries additionally ask for your company, role and site type.

We use this to reply to you, prepare a quote and, if you go ahead, carry out the work. Our lawful basis is performance of a contract, or taking steps at your request before entering into one.

When you use the website

With your agreement, we use Google Analytics and Google Ads cookies to understand how the site is used and to measure the performance of our advertising. These are not set unless you accept them in the cookie banner. Our lawful basis is your consent.

Our hosting provider also keeps standard server logs, which include IP addresses, for security and to keep the site running. Our lawful basis for that is our legitimate interests in operating a secure website.

Cookies and analytics

We use Google Tag Manager, Google Analytics 4 and Google Ads. Until you choose, analytics and advertising storage are set to "denied" using Google Consent Mode, so no analytics or advertising cookies are placed. We also store a single item in your browser's local storage, jrw-cookie-consent, to remember your choice so we do not ask again on every page.

You can change your mind at any time using the cookie settings link in the footer of any page, or by clearing your browser's site data for this site.

Who we share information with

We do not sell your personal information. We share it only with the service providers we need to run the business:

  • Netlify — hosts this website and receives form submissions on our behalf.
  • Google — provides the analytics and advertising measurement described above, where you have consented.

We may also disclose information where we are legally required to, for example to HMRC in connection with our tax and VAT obligations.

Some of these providers are based outside the UK, which means your information may be transferred internationally. Where that happens, those transfers rely on the safeguards available under UK data protection law, such as the UK International Data Transfer Addendum or an adequacy decision.

How long we keep it

  • Enquiries that do not become work: up to 24 months, in case you come back to us.
  • Customer and booking records: seven years from the end of the relevant tax year, because we have to keep accounting and VAT records.
  • Marketing contacts: until you unsubscribe or ask us to stop, and we remove contacts who have not engaged for two years.
  • Photographs you send us: deleted once the quote or job is complete, unless you have agreed we can use them as an example of our work.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct anything that is wrong;
  • ask us to delete it, where we have no continuing reason to keep it;
  • ask us to restrict how we use it, or object to our using it;
  • withdraw your consent, where we rely on consent — including unsubscribing from our emails;
  • ask us to transfer it to you or another provider in a portable format.

To exercise any of these, email jack@jrwgardenservices.com or call 07724 322351. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put it right first.

Keeping your information safe

The website is served over HTTPS. Form submissions are transmitted encrypted and held in access-controlled accounts. Only Jack and anyone directly helping to run the business can see your enquiry or booking.

Changes to this policy

If we change how we handle personal information — for example if we start taking payments online — we will update this page and change the date at the top.
